MLM Software Pricing, Line Item by Line Item
What you're actually paying for: license, hosting, payments, KYC, support, customizations, switching cost. The seven items that matter.
Vendor pricing pages quote one number. Real invoices have at least seven. Most buyers underestimate the total cost by thirty to fifty percent because the headline subscription captures only a fraction of what an MLM platform actually costs to run. Here's the line-item breakdown that matters.
License or subscription
The headline number. For cloud SaaS, this is typically $290 to $5,000 per month, scaling with active distributor count or feature pack. For self-hosted, it's a one-time license of $15K to $50K plus annual support fees of 18 to 22% of the license.
Cloud subscription pricing has gotten reasonably standardized, especially at the entry tier. Anything below $290 to $390 per month is either a feature-stripped tier (no API, no white-label, distributor cap) or a vendor that won't be around long enough to operate the platform reliably. The pricing has a floor for a reason: the operational cost of running a real MLM platform isn't zero, and vendors charging $99/month either lose money or cut corners that show up in operations.
Hosting and infrastructure
For cloud SaaS, this is included in the subscription. For self-hosted, budget $1,500 to $4,000 per month for production-grade infrastructure at this scale (1,000+ distributor MLM). Network sizing assumptions matter here; a 50,000-distributor MLM has different infrastructure requirements than a 1,000-distributor MLM, and the cost grows with traffic and database size.
Payment processing pass-through
Always passed through to distributors or the network, but it has to be modeled because it shows up on the invoice. Card processing typically runs 2.5 to 2.9% plus $0.30 per transaction. ACH is much cheaper (around 0.5% with caps) but only works for US distributors. For international payouts, regional methods like SEPA in Europe or UPI in India each have their own cost profile.
For a $5M GMV network, payment processing comes out to roughly $145K per year. This is the largest single line item after subscription, and most buyers forget to model it.
Wallet and payout fees
If the platform has a native e-wallet, payout fees run 1 to 2% of commission outflow. If it uses a third-party wallet, fees run 3 to 5%. For a $5M GMV network with 30% commission outflow, that's $15K (native) to $75K (third-party) per year on payouts alone.
KYC and AML verification
Required in EU, UK, US, and an increasing number of Asian markets. Per-distributor verification runs $0.50 to $2.00 through Onfido, Jumio, or Veriff. For most networks this is a small line item ($300 to $5,000/year), but the re-verification cadence (typically every 12 to 24 months) means it's recurring.
Implementation and customization
One-time, in year one. Standard implementations on cloud SaaS run $5K to $25K depending on configuration complexity. Custom plan rules, integration work, white-label depth, and migration from existing systems all push the number higher. Self-hosted implementations are typically $30K to $100K because there's also infrastructure setup involved.
Be wary when vendors quote a low subscription with a $40K+ implementation fee. The total year-one cost is what matters, not the line items.
Support tier
Basic email support is included at all tiers from real vendors. Premium support (named CSM, 4-hour response, escalation path) costs $500 to $2,000 per month uplift. For networks above $1M monthly GMV, the premium tier is almost always positive ROI given that a single 24-hour payout outage costs more than a year of premium support.
Switching cost
The line item nobody puts on the spreadsheet. If your platform has a closed API and contractual data export terms that take 90 days plus a fee, your switching cost is real, and it should be priced into the year-three view of TCO. Vendors with open APIs and free data export within 30 days have effectively zero switching cost; vendors that lock data have switching cost of $30K to $100K plus 6 months of operational distraction.
Putting it together
For a 1,000-distributor cloud SaaS deployment at $5M GMV, three-year TCO typically lands between $250K and $400K including all line items honestly. For a self-hosted equivalent, $400K to $700K. The headline subscription is roughly 10 to 25% of the total. When evaluating vendors, ask for the year-three TCO model with all seven line items, not the year-one subscription headline. The vendors that quote it cleanly are the ones whose total cost will match the model in operations.
